Freelance Consultant Brief – Database Review and Recommendation
About Us
Wellspring Settlement, based in the Lawrence Hill ward of Inner Central East Bristol, was formed in 2020 through the merger of two longstanding local charities: Barton Hill Settlement and Wellspring Healthy Living Centre. Our vision is for strong, dynamic communities where everyone has a good quality life.
We provide short-term support in times of crisis and empower the community to find long-term, sustainable solutions to challenges. Our work addresses issues such as social isolation, poor health, poverty, trauma, financial and digital exclusion, and inequity. We engage in community development, family and youth support, wellbeing projects, and financial resilience work — reaching over 6,000 people annually and many more through our room hire and tenant services.
Project Brief
We are seeking a freelance consultant with expertise in charitable impact measurement and database strategy to support a short-term project reviewing our current database systems and guiding our next steps.
Objectives
• Review our current case management and room booking databases
• Work with staff to clarify what we need from our database systems
• Explore and evaluate existing and alternative solutions, including:
o Pros and cons
o Cost implications (short and long-term)
• Support us to make a clear decision on whether to retain or replace existing systems
• Develop a practical implementation plan for the agreed solution
Timeline
• Decision by March 2026
• Implementation plan finalised by August 2026
Budget
Maximum £10,120, inclusive of all costs associated with the project including consultant expenses and of VAT.
Consultant Requirements
• Strong understanding of charity sector data and impact measurement
• Experience evaluating and recommending database solutions
• Ability to communicate options and technical detail clearly to non-technical stakeholders
• Track record of supporting decision-making and planning in nonprofit settings
Process
Please submit a project brief, max 2 sides of A4, setting out how you would approach the project, key milestones, timeline, costs/budget, success criteria and risks by 10am Monday 24 November 2025. Please also provide details of your skills and experience that you bring to the project, examples of similar projects you have successfully undertaken and details of two referees. References will only be taken up for the successful candidate.
We are aiming to hold interviews on Thursday 27 or Friday 28 November. Please indicate in your project brief if you are available on those dates.
We will expect the successful candidate to demonstrate that they have the eligibility to work in the UK and hold appropriate insurance.
